Concept of E Mail

Today is 21st century . It is also known as I.T  age so most of the organations company accept data, information  with the help of information technology. They also deliver data  information with the help of social media I. T.  is not present before 21st century so in 19th,20th century company accept and forward their data information with the help of Mail. so we can say that mail plays an impotant role in the development of bussiness.
* Mail;- The process in which we get postcard, envelope letter and sort,handle,transmission and deliver to its destination. This process is know as Mail 
In other words we can say that the process in which we get letter from different person,department and sorting ,handling,transmitting,delivering according to its destination . This process is know as mail. 
 There are two parts of mail one is recipt of mail and second is dispatch of mail. 
1. Receipt of mail;- Every company has a large and particular function. These are a number of organisations that is directly or indirectly related  to government or private sector . These are government , judiciary ,commercial banking , financial instituton, insurance ,suppliers, contractor,distribution channel and so on. All these persons organisation concern body send letter to organation and organation accept forward and take on appropriate action on this letter. This process is know as receipt of mail.
2. Dispatch of mail ;- It is the second part of mail .There are a number of organations that have more than four sectors . These sectors are production Marketing ,Human resourse management  Finance I. T. Legal, Administration, Research and Development and so on . It is  very hard, expensive , tidious work for each department to collect and send the mail to concern person department, organisation and so on. For removing this problem, they used centralised system to send the mail . In this system administration department collect the main from all departments and send it to its destination . This process is know as  dispatch of mail 
In other words we can say that the process in which organisation collects all letters from employees management and send to destination by a step to srep process this process is called dispatch of Mail.
* On the basis of function  these are two types of mail handling process. One is contralised and second is  is decentralised 
1. Centralised System;- It is the first type of mail  handling . The process in which organisation possess a particular sector to accept and dispatch and all type of mail by systamatic, predefine way  of organisation , This type of system is know as centralised system. 
 * Positive /benefit/ importance of E mail
1. To keep proper record of receipt and dispatch of mail. 
2. To perform mailing function by a fast way
3. To deliver mail at proper time
4. To deliver  mail to right or authentic person. 
*Demerit-
1. It is an expensive process. 
2. It is resourse, time , money consuming process. 
3. It is not benefical for small scale, middle scale  company.
4. It is not useful in 21st century,I.T  age.
